Who we are, what we do with your information, and the rights you have over it.

This notice explains what we do with personal information, and the rights you have over it. It covers both this website and the enquiries and work we handle in the ordinary course of business.

Who is responsible for your information

Warefence is the trading name of S. J. McBride Limited, a company registered in England and Wales, company number 04698967. The registered office is Unit J, Ventura Park, Broadshires Way, Carterton, Oxfordshire OX18 1AD.

We are the data controller for the information described here, which means we decide how and why it is used. If you want to ask anything about this notice, or exercise any of the rights below, contact us by email at info@warefence.co.uk, by telephone on 01993 845 279, or by post at the address above.

What this website collects

Very little, and none of it deliberately identifying.

  • No cookies. This website sets no cookies of any kind, so there is no cookie banner to click and nothing to consent to.
  • No analytics or tracking. We do not use Google Analytics, advertising pixels, session recording or any similar tool.
  • No third-party content. Every image, stylesheet, script and font is served from this website itself, so simply reading a page does not disclose your visit to anyone else.
  • No forms. There is nothing to fill in on this site. Enquiries reach us by telephone or email, which you choose to send.

Our hosting provider does keep standard web server logs, which record the IP address of the device requesting a page, the time, the page requested and the browser identifier. These are generated automatically by the web server, are used only to keep the site running securely and to investigate faults or abuse, and are deleted on the provider's normal cycle.

Information you give us directly

When you contact us about work, we collect what we need to reply and to quote: normally your name, the organisation you are contacting us on behalf of, your telephone number and email address, the site address, and the details of what you are asking us to do. If we go on to carry out work, we also hold the records that go with it, such as correspondence, site information, purchase orders and invoices.

We do not ask for and do not want special category information (such as health or ethnicity) or payment card details through this website.

Why we use it, and our lawful basis

Data protection law requires us to have a lawful basis for using your information. Ours are:

  • Responding to your enquiry and preparing a quotation. Our legitimate interests. You have approached us about fencing work, and we cannot answer without using the details you gave us.
  • Carrying out the work and managing the contract. Performance of a contract with you, or taking steps at your request before entering into one.
  • Health and safety, site records and accreditation requirements. Compliance with our legal obligations, and our legitimate interests in being able to evidence how work was carried out.
  • Invoicing, accounts and tax records. Compliance with our legal obligations.
  • Keeping in touch about our services. Consent, where you have asked us to, or our legitimate interests where you are an existing client. You can tell us to stop at any time and we will, without needing a reason.

Who else sees it

We do not sell, rent or trade personal information, and we do not share it for anyone else's marketing.

We share it only where there is a reason to:

  • Service providers who act on our instructions. This includes the company that hosts this website and the company that provides our email. They may only process information in order to provide that service to us.
  • Manufacturers, suppliers and subcontractors, where a site address or contact name is needed to deliver materials or complete work.
  • Our accountants and professional advisers, and our insurers where a claim or a query arises.
  • Anyone we are legally required to disclose to, such as HM Revenue and Customs, a regulator, or in response to a valid court order.

Where your information is held

This website is hosted in the United Kingdom. Some of the services we rely on to run the business, such as email, may process or store information outside the United Kingdom. Where that happens it is covered by the safeguards data protection law requires for international transfers, such as the UK International Data Transfer Addendum to the European Commission's standard contractual clauses. You are welcome to ask us which providers are involved and what safeguards apply.

How long we keep it

  • Enquiries that do not lead to work: up to 12 months, so that we can pick up the thread if you come back to us.
  • Client and project records: six years after the end of our working relationship. This is the period we are required to keep accounting records, and broadly the period in which a claim relating to the work could still be brought.
  • Records we must keep for longer because of a specific legal or insurance requirement are kept for that period and no longer.

When information is no longer needed for any of these purposes it is deleted or securely destroyed.

Your rights

You have the right to:

  • be told how we use your information, which is what this notice is for;
  • ask for a copy of the personal information we hold about you;
  • have it corrected if it is wrong or incomplete;
  • ask us to delete it, where we have no continuing reason to keep it;
  • ask us to restrict how we use it while a question about it is resolved;
  • object to our using it where we rely on legitimate interests, and to object to direct marketing at any time, which we will always honour;
  • ask us to transfer it to you or another provider in a machine-readable form, where that right applies;
  • withdraw consent at any time, where we relied on consent.

If you are unhappy with how we have handled your information

Please tell us first, so that we have the chance to put it right. You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, and you can do so without contacting us at all.

Keeping information secure

This website is served only over an encrypted connection. Access to our email and business records is restricted to the people who need it, and we take reasonable technical and organisational measures to protect information against loss, misuse and unauthorised access. No transmission over the internet can be guaranteed completely secure, so please do not send us anything highly sensitive by email.

Links to other websites

Where this site links to another organisation's website, we are not responsible for that site or for what it does with your information. Their own privacy notice will apply, and it is worth reading it.

Changes to this notice

If we change how we use personal information we will update this page and change the date at the top. Where a change is significant, we will take reasonable steps to tell the people affected.
